Process Library Features

Capture your processes as clear and understandable process maps

capture-1-v2

Create easy to follow process maps

Reduce employee mistakes and streamline employee training by creating process maps - diagrams which clearly shows the main steps needed to do something - for each process in your organisation. Enabling everyone to do their job correctly every time.

capture-2

In-library drag and drop process mapping

Quickly and easily create process maps with our drag and drop process mapping software. Drag and drop process mapping enables you to break down your processes into small steps, made up of activities, decisions and deliverables (denoted by different shapes) directly in your library - so you can get up and running fast.

capture-3

Drill-down to more detailed process maps

Ensure your organisation captures everything it does in detail, while keeping individual process maps as simple and easy to understand as possible, with multi-level process mapping. Use drill-downs, from activity shapes, to automatically add new levels of detail to your Process Library. Drill-downs make navigating between maps on different levels and viewing processes in more detail, quick and easy.

capture-4

Easy feedback mechanism

Ensure that your process maps are always up to date and accurate with the Process Library's feedback feature. Add a feedback button, linked to an email address or url, to each process map, enabling users to quickly and easily submit feedback on individual process maps. Suggestion Box also optionally gives you a very easy way to enable and action feedback.

Collaborative Process Mapping

Authors can create draft versions of all the maps in the Process Library, creating an iterative approach to process mapping. Additionally, multiple authors can create drafts of the same map. This collaborative mapping style ensures the best possible quality of Process Library content, as the only the best drafts are approved.

Automated end-to-end process linking

Using off-page connectors, which are automatically added by the Process Library, processes can be mapped from end-to-end, while, at the same time, each page can display all the detail needed and allow users to see only the section of the process that is relevant to them.

Control your processes, so your process maps are always accurate

control-1

Process approval and review capability

Guarantee the accuracy of your Process Library with its rigorous approvals and review system. A process map cannot be published to the Library unless it has been reviewed and approved by the relevant approver. All maps are flagged for review after a certain time period has elapsed. This ensures that your process maps always display the correct, most up-to-date information.

control-2

Assign Process Library roles

Everyone in the Process Library can view, search and share process maps. But roles with additional permissions are required before users can make changes to the Process Library such as approving, creating and deleting process maps or inviting new users. Ensuring the Process Library is always accurate and secure.

control-3

Auto-archive Library content on change

Process Library automatically stores all the previously published versions of a process map, including properties and change descriptions. So all changes are captured and reversible, and all versions of any given process can always be viewed.

control-4

Customise features for custom roles

Create custom roles for your Process Library with as many - or as few - features as you wish. Allowing your organisation to create roles with bespoke features to best reflect your organisation's structure. Custom roles also allow you to set map security, so organisations can limit access to their processes.

Manage your process data, to capture what you really need

manage-1

Display your RACI information

Display who is Responsible for specific activities directly on the process map and who is Responsible, Accountable, Consulted and Informed in the activities' property section. These properties are bespoke to your organisation to best reflect how it actually works, ensuring everyone knowns who should be doing what and when.

manage-2

Build and edit your own property database

The Triaster Process Library enables you to create a database of properties, so that you can capture all the data that you need to measure effectiveness and find efficiencies in your organisation.

manage-3

Attach any property to any shape

All properties can be set up as either process map properties, activity properties or deliverable properties, so you can add any information to any shape. This can range from the name of the map's author, to an address or bank details, or to any data in between. As a result you can create process maps which can be understood 'at a glance', while not leaving any important information out.

manage-4

Create custom answer sets

Process Library answer sets save valuable time by enabling organisations to create a set of answers which can be used for all dropdown properties - map properties, deliverable properties and activity properties. This means you do not need to manually add a set of answers each time you create your properties, reducing time spent managing properties and the risk of having several slightly different labels for the same thing.

manage-5

Edit property values from process maps

Edit property values from the process map directly - instead of from the properties page - so you can instantly see the changes you make to the process map. Authors can change a shape's RACI information, risk level, effort level and more, and change a process map's process owner, author and more from the process map, and quickly publish the changes to the Library - so the process map is always up to date.

Intuitive Process Library

With Process Library's intuitive design, process maps are easy to find and can be logically grouped, creating a reference hub of accurate information for your organisation. The Process Library comes with an attractive design as standard, with the ability to add your own custom design to suit your organisation's branding.

share-2

Search across processes

Users can search the Process Library for process maps, documents and technical documents so they will always be able to find the information they need. This means it is easier to find the information in the Process Library than it is to ask a colleague how to do something - ensuring the Process Library is always the first port of call.

share-3

Custom 'My Processes' view for individual users

Individual users can create their own 'My Processes' view, in place of the standard homepage so they can quickly access the process maps which are most relevant to them. Users can sort by system properties such as approval date and author or custom properties.

share-4

Share button

Quickly and easily explain how to perform a task by sharing the relevant process map with just one click. Ensure your organisation stays secure as the share button links users to the process in Process Library, so if recipients are not Process Library users or do not have the required permissions they will not be able to view the process map.

share-5

Menu Editor

Customise your homepage menu, adding menu folders, links to external websites and links to process maps, ensuring your maps and supporting information are grouped as per the structure of your organisation, and easy for your users to find.
