Triaster QMS pricing

Pricing that supports adoption.

The value of a Quality Management System increases when people use it. That is why Triaster QMS is not priced according to the number of named users, user roles or permissions. Your organisation is free to give access to everyone who needs it, without incurring another charge each time a user is added.

Our pricing reflects the scale of the organisation, the service required and the way the system will be deployed. The result is a flexible enterprise pricing model that supports adoption rather than punishing it.

What does Triaster QMS cost?

Annual software subscription

Annual software subscriptions typically range from approximately £5,000 to £75,000. The final price depends on the options and services selected. The subscription includes continued access to the software, maintenance, upgrades and the ongoing release of product improvements — and does not limit the number of users who may access the system.

Many software platforms become more expensive as adoption increases. Triaster QMS works differently. We agree a subscription based on the scale and requirements of the organisation. Within that agreement, the customer decides:

  • how many people should use the system
  • what roles they should have
  • what they are permitted to see
  • what they are permitted to create, review or approve

There is no additional software subscription charge simply because more employees begin using the QMS. This allows customers to make quality part of everyday work rather than restricting the system to a small group of licensed users.

How your price is constructed

The price of Triaster QMS can contain a combination of recurring, consumable and one-off elements. Customers do not have to purchase every element. We will help you identify which components are appropriate for your organisation.

  1. Recurring

    Annual software subscription

    The core subscription is based primarily on the scale of the organisation and the expected scope of the deployment.

    Typical annual cost: approximately £5,000 to £75,000. Larger or unusually complex enterprise deployments are quoted individually.

  2. Consumable

    AI usage

    AI capabilities are available as an optional addition.

    • Drafting and refining processes
    • Creating and improving controlled documents
    • Interrogating approved QMS content
    • Identifying gaps or inconsistencies
    • Supporting reviews and updates
    • Assisting users through a conversational interface

    AI usage is purchased separately from the software subscription, normally through prepaid usage blocks. Customers pay for the level of AI capability they choose to use rather than having AI costs imposed on every subscription.

  3. Recurring

    Help desk and user support

    Software maintenance and upgrades are included in the annual subscription. Operational help desk support and user support are separate services.

    Support can range from occasional assistance through to a more comprehensive service with agreed response expectations, administrator support and ongoing user guidance. Support is scoped and priced according to the level of service required.

  4. Recurring / one-off

    Managed QMS service

    Customers may manage their own QMS content or ask Triaster to do some or all of the work for them.

    The service can be used during implementation or retained as an ongoing managed service. It is priced separately according to the amount and type of work required.

  5. Recurring / one-off

    Infrastructure options

    The standard subscription includes deployment within Triaster's secure multi-tenant cloud environment. Alternative deployments are available.

    • Additional resilience, backup or geographic hosting requirements

    Additional infrastructure is optional and is quoted separately. The price will reflect both the initial setup and any ongoing hosting, monitoring and maintenance requirements.

  6. One-off

    Bespoke design

    Triaster QMS can be presented using the standard Triaster interface or designed to reflect the customer's own organisation and brand.

    Triaster can use modern AI-assisted development techniques to create or refine features around specific customer requirements.

    Where appropriate, this work can be delivered much more rapidly than a traditional bespoke software development project. Feature refinement is optional and is separately scoped and priced. Any proposal will define the required functionality, delivery assumptions, ownership and continuing maintenance arrangements.

  8. One-off

    Implementation and setup

    Some customers need very little implementation assistance. Others want Triaster to lead a substantial organisation-wide programme.

    A straightforward implementation may require only a small amount of setup. A complex international implementation involving migration, integration, consultancy and large-scale content creation can become a substantial programme. Implementation is scoped separately rather than included as an arbitrary percentage of the software subscription.

    Training

    Training can be provided for a wide range of audiences.

    Training may be delivered remotely, on site or through a blended programme. The price depends on the number of sessions, the audience, the required training material and whether customer-specific courses are needed.

  10. Recurring

    Contract term and payment structure

    The standard price is based on an annual agreement. Discounts are available where customers commit longer term and pay the full contract value in advance.

    • Three-year agreement paid in advance: 15% discount
    • Five-year agreement paid in advance: 25% discount

    The discount reflects both the contractual commitment and the single advance payment. Three-year or five-year agreements with phased annual payments do not receive the same advance-payment discount and will be priced separately.

Partner charity pricing

Discounts of up to 50% for approved partner charities.

We offer discounts to selected partner charities whose work and values align with our own. Approved partner charities may receive a discount of up to 50% on the core software subscription. Partner charity status is considered through an application and review process, and the precise discount will depend on the organisation, the proposed use of the system and the scope of the partnership.

Charges for infrastructure, AI usage, implementation, support, consultancy or customer-specific development may still apply.

Some projects may contain both one-off and continuing elements. These will be identified clearly in the proposal.

A price you can shape

Triaster QMS is not an all-or-nothing package.

If an initial proposal exceeds the available budget, we can examine its individual components and decide what is essential now, what can be delivered later and what the customer would prefer to manage internally.

This creates a transparent conversation about scope and value rather than forcing every customer into a predetermined package.

Annual price changes

Unless otherwise agreed, recurring prices are reviewed annually. Prices will increase by 3% per year or by the increase in the UK Retail Prices Index, whichever is greater. The applicable terms and review date will be stated in the customer agreement.
