QMS Consulting
Frequently asked questions.
The questions we are asked most often about our QMS consulting services, how engagements work and what to expect.
What is QMS adoption consulting?
QMS adoption consulting focuses on whether a quality management system is actually used, rather than only whether it exists. It diagnoses the barriers to use: accuracy, completeness, comprehensibility, findability and embedded practice. It then puts in place the content, governance and behaviours that make the QMS a reference source people return to.
Why does QMS content drift?
Organisations change continuously: systems, suppliers, roles, regulations and working practices all move. QMS content usually changes in bursts, around audits or projects. That mismatch is drift. It is rarely a design failure; it is an ownership failure, because nobody is accountable for keeping content aligned between those bursts.
Why does Triaster focus on usage?
Because the value of a QMS is in its usage. A beautifully designed QMS that nobody uses creates no value. Every time someone consults the QMS instead of relying on memory, hearsay or a local note, they choose governed, approved knowledge over a source exposed to drift and error. Repeated across an organisation, that means fewer mistakes, greater consistency and better control.
Why does Triaster insist on the Process Approach?
The Process Approach is fundamental to ISO 9001, not simply a Triaster preference. Documenting how work flows end-to-end, rather than treating departments and procedures as isolated silos, produces a system that is easier to understand, govern, improve and use. 32 years of practical experience has shown us that process-based systems are adopted more readily than collections of isolated documents.
How is QMS consulting different from the Triaster QMS software?
Triaster QMS is the software product: the governed process model, documents, registers and records. The consulting services are the people side of the same discipline: diagnosing why a QMS is not used, producing and maintaining accurate content, running governance routines and embedding adoption. Some organisations need one, some need the other, and many benefit from both.
What is the difference between Embedded QMS Support and the Managed QMS Service?
Embedded QMS Support adds experienced capability alongside your team to produce specific outputs such as new or updated process content, cleared backlogs and improved clarity, while your team retains day-to-day ownership. The Managed QMS Service is continuous: we take ongoing operational responsibility for review cycles, approvals routing, version control, content updates and reporting, working with you so that management accountability remains where it belongs.
What is an Adoption Diagnostic?
It is a focused assessment of why your QMS is not being used. We examine the system against accuracy, completeness, comprehensibility, findability and embedded use, then give you adoption findings, prioritised risks, practical recommended actions, a separation of quick wins from structural issues, and a recommended level of ongoing support.
Do you work in both the EU and UK?
Yes. We work with organisations across the European Union and the United Kingdom, including distributed teams and multi-location operations. Triaster GmbH, our registered German company in Berlin, contracts and invoices consulting engagements for defined EU customers.
What is the difference between a public Executive Briefing and a private Leadership Workshop?
Public Executive Briefings are educational sessions offered to the wider QMS community, and may be free where applicable. Private Leadership Workshops are paid, organisation-specific sessions that address your own risks, priorities, leadership responsibilities and business case.
